I upgraded the G Suite plan from Basic to Business to be able to use Team Drive, so I’ll share the customization settings I enabled during the introduction process.
Team Drive is not available with the Basic plan; it’s available from the Business plan.
There are official G Suite start guides and help articles. I think you can understand without problems by following the settings and deepening your understanding with these two articles:
For Team Drive settings, I basically configured them according to the defaults following Manage Team Drive - G Suite Administrator Help, but I enabled some of the following settings:
I enabled [Allow users to migrate files to Team Drive].
In the Google Admin Console (admin.google.com), do the following: Go to [Apps] > [G Suite] > [Drive and Docs]. Click [Migration Settings]. Next to [User Options], select [Allow users to migrate files to Team Drive]. Click [Save].
The reason is that since we introduced Team Drive midway, enabling [Allow users to migrate files to Team Drive] is a mandatory requirement for individuals to migrate Google Docs and Sheets they’ve been using to Team Drive.
If Team Drive could be used from the company’s founding, [Allow users to migrate files to Team Drive] might be fine to disable.
I created a [Custom role] for [Move files and folders to Team Drive] and granted it to department heads.
Log in to the Google Admin Console with an administrator account.
- From the Admin Console home page, go to [Users].
- Click a user's name to open their account page.
- Click [Admin roles and privileges].
- If [Admin roles and privileges] is not displayed, click [More settings] at the bottom of the screen.
- To display permissions granted by the user's current role, click [View permissions].
- Click [Create custom role].
Tip: For more details, see creating custom administrator roles.- In the [Privileges] tab, check [Services] > [Drive and Docs] > [Move files and folders to Team Drive].
- Click [Save changes].
The reason is that it’s easier when you can move folders in bulk.
Also, limiting custom administrators to only department heads was largely because permissions could only be granted per user, so granting to all employees would be cumbersome from the G Suite Admin Console. Maybe it’s possible to grant in bulk via API, but since it’s only needed during the migration period, I haven’t investigated.
